Etsy Statement Analyzer: see where your money went

Drop your Etsy monthly statement CSV (one month or a whole year) and get your real take rate, every fee by category, Offsite Ads per order and VAT on fees. It runs entirely in your browser: your file and your numbers are never uploaded.

How to get your Etsy monthly statement CSV

In your Etsy Shop Manager open Finances, then Monthly statements, pick the year and the month, and choose Generate CSV. Etsy emails you a link; use it to download the file. The statement covers the activity in your payment account for that month, including sales, fees, marketing charges, shipping labels, refunds, taxes and deposits. Select several months at the same time in the box above to see a trend, or one month to see an exact breakdown.

What the analyzer shows you

The headline is your real take rate: everything Etsy deducted divided by your gross sales. Below it you get a category table (listing fees, transaction fees, payment processing, Etsy Ads, Offsite Ads, regulatory and currency fees, subscriptions, VAT on fees and fee credits), a month-by-month trend, and an order-by-order list that flags the orders carrying an Offsite Ads fee. Refunds, shipping labels and tax collected from buyers are shown on their own because they are not fees. Deposits and transfers are never counted as a cost.

Etsy often nets the payment processing fee inside the sale row instead of listing it on its own line. The analyzer reads that embedded fee from the Fees & Taxes column of the sale row and adds it to payment processing, so the total is not understated. VAT charged on fees and VAT credited back are shown together as a net figure with both parts visible.

It never guesses: needs review, and a reconciliation check

Every line is matched to a category using a vocabulary of known Type and Title texts that we maintain. A line we do not recognise is not counted as a fee; it goes into a Needs review list where you choose the category yourself, and the report updates at once. For every row the analyzer also checks that Net equals Amount plus Fees & Taxes. If any row fails, it lists the row numbers and tells you the totals are unreliable instead of showing a confident number that might be wrong.

The analyzer reads comma, semicolon and tab separated files in UTF-8, UTF-16 and Windows-1252, decimals written with a point or a comma, and dates written year-month-day, month/day/year, day/month/year or with month names. If your date order is ambiguous it tells you which one it assumed and lets you change it. If the column names are different from the ones we expect, a column-matching screen lets you point at the right columns. It was built from the documented column layout, and Etsy files differ a little between countries and periods, so if your file does not work, tell us.

Privacy: what leaves your browser

Your statement is read by your browser and is never sent to KeepCent. The page loads our classification vocabulary (a list of known statement labels, with no data from you) and counts anonymous outcomes such as "a file was recognised"; no amounts, dates, order numbers or file content are ever included. A separate, optional "Help improve" checkbox, off by default, lets you send only the Type and Title text of lines we did not recognise, with every number removed, after showing you exactly what would be sent. You can verify all of this in your browser's network tab.

The accountant export

The analysis above is free and complete. If you want to hand a year to an accountant, the paid export packages it: a printable PDF summary, an Excel workbook and a CSV with monthly totals by fee category, every statement line with its assigned category, and a VAT on fees summary. It is generated in your browser after purchase, so your file is still not uploaded. It is a summary of what is in your file, not tax advice, and it does not file anything for you.

Frequently asked questions

Is my file uploaded?

No. The analysis runs in your browser and the file is never sent to our server. Open your browser's network tab while you use it to confirm: no request carries your file or any amount.

Where do I get the CSV?

In Etsy: Shop Manager > Finances > Monthly statements, pick the year and month, choose Generate CSV, then use the link Etsy emails you to download it (path as described in Etsy's help). You can drop several months at once.

Why is my deposit lower than my sales?

A deposit is your sales that are available for deposit minus Etsy fees and taxes since the last deposit. Sales that are not yet available, and any hold, are not deposited yet. The analyzer shows deposits separately and never counts them as a cost.

Is a payment reserve counted as a fee?

No. A reserve or hold is money delayed, not a cost, so it is not part of the take rate.

What is the real take rate?

Everything Etsy deducted (listing, transaction, payment processing including the part netted inside sale rows, Etsy Ads, Offsite Ads, regulatory and currency fees, subscriptions, VAT on fees, minus fee credits) divided by gross sales. Deposits, tax collected from buyers, refunds and shipping labels are excluded and shown separately.

Why are some rows "Needs review"?

We never guess. A line whose Type and Title we do not recognise is not counted as a fee; it sits in a list where you can assign a category, and the report updates. Your choice is stored only in your browser.

Does it work for UK, Canada and Australia?

It reads files that have the Date, Type, Title, Info, Currency, Amount, Fees & Taxes and Net columns, with comma or semicolon separators, comma or point decimals and either date order. If your headers differ it offers a column-matching screen. Real files differ by country, so tell us if yours does not work.

How accurate is it?

It reproduces your file to the cent when the columns reconcile. For every row it checks that Net equals Amount plus Fees & Taxes and lists the row numbers that do not, and when any fail it says the totals are unreliable.

What does the paid export add?

The analysis is free and complete. The paid accountant export is a printable PDF summary plus an Excel workbook and CSV with monthly totals by category, every statement line with its category, and a VAT on fees summary, generated in your browser.
