How to Read Your Etsy Monthly Statement CSV

Updated Oct 25, 2026 · 4 min read

Download the monthly statement in Shop Manager under Finances, then read it by row type: sales, fees, shipping labels, refunds and deposits. In files sellers share, Net equals Amount plus Fees and Taxes on every row, which gives you a simple check. Column names and row titles can differ, so verify against your own file.

The Etsy monthly statement is the most accurate record of what happened in your payment account, and it is also the file most sellers open once, get lost in, and close. This guide shows where to find it, how to read it row by row and how to check your totals. One honest caveat first: Etsy does not publish a formal specification for the file, so the layout described below comes from Etsy's help text and from the way sellers describe their files. Column names and row titles can differ by country and can change. Verify against your own download.

Where to get it

In Shop Manager, open Finances, then Monthly statements, and download the CSV for the month. Etsy's help article on calculating your Etsy Payments deposit amount points sellers to this statement. Open it in a spreadsheet program rather than a text editor, and keep the original untouched while you work on a copy.

The columns you will usually see

Column What it holds
Date When the entry was posted
Type The kind of entry, such as Sale, Fee, Marketing, Shipping label, Refund, Deposit, VAT or Tax
Title A description such as the order payment, a transaction fee for an item, a listing fee, or an Offsite Ads fee
Info An order or listing reference. For sales that are not yet available, Etsy says it shows a date
Currency The currency of the entry
Amount The gross amount of a sale or the amount of an entry
Fees & Taxes Fees and taxes charged against the entry
Net The result after fees and taxes

Treat this as a map, not a promise. If your file has different headers, match each one to the closest meaning.

How the rows fit together

A sale row carries the gross amount of the order, including shipping. In files sellers share, that row's Fees & Taxes column holds the payment processing fee, because processing is charged on the whole order total. The transaction fee and the listing fee usually appear as separate fee rows, and Offsite Ads, Etsy Ads and shipping label purchases show up as their own rows with the value in the fees column rather than in Amount. Refunds, deposits and tax entries each have their own type.

For a US order of $30 plus $5 shipping, the pieces you expect are a $35.00 sale, a processing fee of $1.30 (3% of $35.00 plus $0.25), a transaction fee of $2.28, and a $0.20 listing fee, $3.78 in total. The Etsy fee calculator lists the same lines so you can compare them with your rows.

A check you can do in a minute

In the shared files we are aware of, every row obeys one rule: Net equals Amount plus Fees & Taxes. Add a column to the spreadsheet with that formula and compare it to Net. Rows that do not match deserve attention: note the row number, look at its Type and Title, and find out why. Do not trust a total that includes rows you could not explain.

Totals worth calculating

  1. Gross sales: the sum of the sale amounts, excluding buyer tax if it is shown separately.
  2. Etsy charges: transaction, processing, listing, Offsite Ads, regulatory operating fee and any VAT or GST on fees, each added separately.
  3. Take rate: Etsy charges divided by gross sales. On a plain US order it is about 10.8%, and an Offsite Ads order at 15% raises it to 25.8%.
  4. Other cash movements: shipping labels, refunds and deposits, kept apart from fees because they are not the same thing.

Deposits are transfers to your bank, not costs. Counting them as fees, or counting a held balance as a fee, produces wrong numbers; see why the deposit is lower than sales and the guide on reserves.

Traps

  • Not-yet-available sales. They appear with a date in Info and are excluded from the deposit until that date.
  • Different currencies. Look at the Currency column before you add anything. A seller whose listing currency differs from the payment account currency can see the 2.5% conversion fee, explained in the currency conversion guide.
  • VAT lines. Charges and credits can both appear. Net them for a true figure; the VAT guide explains why.
  • Titles you do not recognise. Do not guess. Look the entry up in Etsy's help articles or ask support.

Rates mentioned here were checked on 25 October 2026 on Etsy's Fees & Payments Policy. KeepCent is independent and not affiliated with Etsy, Inc., and has not audited every country's file layout.

Frequently asked questions

Where do I download the Etsy monthly statement?

In Shop Manager, open Finances, then Monthly statements, and download the CSV for the month. This is the path Etsy's help article on calculating your deposit points to.

What does the Info column show?

It usually holds an order or listing reference. Etsy's help text says sales that are not yet available show a date there, and those sales are excluded from the deposit calculation until that date.

Why is the fee in the sale row and not on its own row?

In files sellers have shared, the payment processing fee can sit in the Fees and Taxes column of the sale row, while other fees appear as separate rows. Check your own file, because layouts vary by country and over time.

How do I know a row is consistent?

In shared files, Net equals Amount plus Fees and Taxes. If a row does not follow that rule, note its row number and check it before relying on your totals.

Does KeepCent read the CSV for me?

Not yet. This guide is for reading it yourself. The calculators on this site work on single orders and do not take your file.
